What to export for the audit, and how

Three or four files from your CRM covering the last three to six months — and the agent can follow a customer from first contact to money.

  • 3–4 filesdeals, leads, calls
  • CSV or Excelstraight from the software
  • As isnothing cleaned up or renamed

What we need

WhatWhy
Deals — all of them, including closed and lostwhere customers wait and at which step they leave
Leads or enquirieshow many arrive, from where, and what happens to them in the first hours
Calls (call details)when customers get an answer and a call back
If you can: tasks, invoices, a rota or timesheet, a statement of recurring paymentsworkload, the road to payment, subscriptions that do nothing

Do not clean anything up and do not rename columns. We need the messy rows and your own column names as they are. PDFs and screenshots will not do — the agent cannot count from them.

We do not need access to your CRM, and we do not need passwords.

On a paid plan a key is easier. We then see the stage history and the time to first response, and less personal data reaches us. A key instead of exports

Deals and leads

  1. Open the listCRM → Deals (or Leads) → switch to the List view: export only works from there.
  2. Clear the "in progress" filterClosed deals must be in the list too. Period: three to six months.
  3. Start the exportThe gear icon at top right → "Export Deals To CSV" (or "To Excel").
  4. Tick all fields"Export all deal fields" and "Export all contact and company fields" — the file will then include your own custom fields: survey date, reason lost and the like.
  5. Leave SKUs untickedWith "Export detailed SKUs" one deal takes up several rows.
  6. Download the file"Run", then download.

Calls and stage history

CallsTelephony → Call details → "Export to Excel". This is not available on the free plan.
Stage historyIt is not in the ordinary export. If BI Builder is switched on, export the crm_deal_stage_history dataset. If not, we will work with the dates there are.

Exporting needs the export permission; the export is recorded in the CRM history, where an administrator can see it.

Kommo and amoCRM

  1. Show all stagesPipelines → All leads → "Search and filter" → all stages. Without this, closed leads are left out of the file.
  2. Start the exportThe "…" menu at top right → Export → CSV or Excel → by the active filter.
  3. Send every fileOne file may hold no more than 500 records, so the software may hand you several.
  4. Download straight awayThe finished file is kept for three days.
Contacts and companiesNot needed separately: the main contact's fields are already in the leads export.
Calls and the event logThey cannot be exported as standard. If you use a telephony service, export the call details from its own account.

No Export button means the user lacks the export permission: an administrator switches it on in the user settings.

What we do with the data

Stays as it is

  • Deal numbers, amounts and dates
  • Your own staff
  • Company names

Replaced before the review

  • Customer names — with "Client 0001"
  • Phone numbers and email addresses — with placeholders
  • Dates of birth — removed

The same person gets the same number in every file, so the links between files survive. What the software does not catch: a name or phone number typed into a free-text comment. If your comments hold a lot of personal detail, export without that column.

Where the data is processed and when it is deleted is agreed in writing before you send anything.

What happens next

  1. QuestionsThe agent goes through the files and puts up to twelve questions to your people — about what is not in the files. Name one person who will pass them to whoever knows.
  2. The reportAfter the answers the agent writes the report, and one of us checks it. What it looks like: see the sample reports.
  3. The decisionWhat you do with the report is up to you.

The menu paths come from the vendors' help pages as of October 2026. If an item has a different name on your screen, or the button is missing, tell us and we will sort it out.

This is a review of how the company works, not an audit of financial statements.
