Okna Alatau: a review of how requests are handled, July–September 2026
1. In short
- Should you take the integrator's bot? Not now. It speeds up booking a site measurement, but there is nowhere to book: the measurer's calendar is 100% full.
- Why there are more requests but not more contracts. Requests rose to 88 a week from 42, while there is one measurer who does no more than 28 measurements a week. The wait for a measurement is now 7 days instead of one, and 29% of bookings fall through on the day of the measurement.
- The managers are not slow. In working hours they call back within 12 minutes. Only evening and weekend requests get a late reply — that is how the working schedule is set.
- There is indeed no routine for reminders after a quote, but that does not explain the drop in contracts.
- Two managers instead of three will not be enough, even if the bot takes over every first call.
- Where to start: confirm each measurement the day before and give any freed slot to the next client in the queue. It costs nothing.
- The promise of "plus 30% to contracts" is not backed by anything.
2. How the work runs today
Over three months 1033 requests came into Bitrix24. Before the advertising started on 20 July there were 42 a week, after it 88. Three managers work on weekdays from 9:00 to 18:00; each has about 168 paid hours a month. A manager calls the client, and if the client agrees, puts the measurement straight into the measurer's calendar. After the measurement the manager prepares the quote — this takes about one and a half days, the same in all three months.
There is one measurer: 5 measurements on a weekday, 3 on Saturday. Bookings for a measurement rose to 31 a week after the advertising, from 15.
Contracts (counted from the prepayment) over three months: 68. Deals created before 20 July gave 7 contracts a week, those created after gave 4.7. Some August and September deals are still open, but that does not cover the difference.
52% of requests arrive in the evening, at night and at weekends. For these the first call comes after 14 hours, and for weekend requests after 35 hours.
3. Where the firm loses and why
The queue for a measurement. Since 27 July every slot in the measurer's calendar has been taken: 252 out of 252 over nine weeks. The wait for a measurement grew from 1 day to 7, and reached 10. The refusal reason “too long a wait for the measurement” is recorded on 33 deals, 32 of them after the advertising started.
Measurements that fall through. 83 bookings out of 327 ended in a refusal on the very day of the measurement. Before the advertising it was 1 booking out of 40, after it 29%. The longer the wait, the more often it falls through: 5% with a wait of up to one day and 44% with a wait longer than seven. Nobody calls the client the day before, the measurer learns of the refusal in the morning, and the slot is lost. In September 77 of the measurer's 122 slots were used.
Quotes with no answer. 77 deals sit after the quote was sent with no decision from the client — worth 36 180 000 KZT. 56 of them are older than 30 days. There is no deadline for a reminder; a call after the quote is visible in the phone system for 55% of quotes.
Measurements depend on one person. There is nobody to replace the measurer.
An expensive channel. About 1 080 000 KZT went on Instagram over three months, and it brought 7 contracts — about 154 000 KZT per contract. 2GIS brought 9 contracts at 15 000 KZT each.
What the check did not confirm. "Managers call back late" — no: 12 minutes in working hours, both before and after the advertising. "Fewer contracts because nobody reminds" — no: the share of quotes followed by a call did not fall after the advertising started (44% before, 57% after), and deals with a reminder ended in a contract no more often than those without (38% and 44%).
4. What to change and in what order
- Free, right away: a manager confirms each measurement the day before, by midday; if the client declines, the slot goes to the next client from the same district.
- Free, right away: a deadline for the reminder after a quote — two working days; call through the old quotes and close them with a reason.
- Free: order in the records — separate statuses for "not our client" and "declined", messages and calls only through Bitrix24, the date of prepayment.
- In a month, costs money: decide on a second measurer. By your own words that is about 300 000 KZT a month. First see how many slots the first step brings back.
- Do not do: do not sign the contract for the bot (180 000 KZT and 45 000 KZT a month, for 12 months, with a 135 000 KZT charge for leaving early; it does not handle WhatsApp or calls). Do not cut the managers. Do not raise the advertising budget until the queue for a measurement gets shorter.
5. How we close this
The queue and the measurements that fall through. We will set up in Bitrix24 a task to confirm the measurement the day before, a waiting list by district, and connect WhatsApp to the client's card. After a month of doing it by hand this can be handed to the client-booking agent: it confirms, reschedules and offers the freed slot by itself. From you: who confirms the measurements, access to Bitrix24, the measurer's account of how he plans the districts. The trial is two weeks, judged by the share of measurements that fall through (29% now).
Quotes and stalled requests. We will set up the reminder deadline and the separate statuses, connect Instagram and add the prepayment date. Then the request follow-up agent finds quotes with no next step and reminds the manager and the client. From you: the deadline, the message texts, calling through the old quotes. The trial is two weeks, judged by the share of quotes with a contact after sending (55% now).
Evening and weekend requests. We will collect the price list and the answers to frequent questions; the AI assistant for the website answers visitors at once and passes the request to a manager. Put it last — when the measurer is no longer the bottleneck. The trial period is one week.
We will name the price of the preparation and of the agents after the review, before any work starts. Set-up items come in packages of up to three; here there are more than three. Language-model costs are paid separately, as incurred.
Nothing to sell: the second measurer, turning down the bot, the number of managers and the advertising budget are your decisions.
Do not give to an agent: the measurement and the calculation of the construction, discounts and prices outside the price list, complaints and refusals, decisions about money.
6. What this will give and what we do not promise
- Money. No payment of the firm stops because of these changes, so we name no savings. The bot is minus 45 000 KZT a month with no proven return.
- Hours. First conversations with requests take the three managers about 126 hours a month. The bot could touch no more than 82 of them, and that is an upper bound, not a promise. Freed time of salaried staff is not money.
- People. All the work of the three managers is about 472 hours a month. Without the first calls 346 hours would remain against 336 paid hours of two people. Two will not be enough.
- Contracts. Winning back the lost slots may give more measurements. How many of them become contracts only a trial will show; we promise no number.
7. What is missing and how to check
- How much the firm keeps from one contract. Whether Instagram and a second measurer pay off depends on it. The question has been put to you.
- Whether the measurer's freed slot can be filled when the refusal is known the day before. The question has been put to the measurer and the managers; the first step depends on the answer.
- The terms of the contract with the ad specialist and consent to pass clients' data to an external model. The questions have been asked.
- How many requests are not from target clients, how many calls were missed and how many reminders go through messengers — this cannot be learned from today's records. Separate statuses and a full export of calls are needed.
- How many contracts there were before the advertising — an export of deals for April–June is needed.
Compare "before" and "after" by one number: the share of measurements that fall through on the day. Come back to the decision on the bot and on a second measurer after a month of working with confirmations.
